:-( I have been an activity director in ltc for 5 years and now that we have a new business office manager i am having to forward tons of mail no time for anything else it seems. please reply this is really stressing me.

Hey Teardrop,

I don't get it, you are having to forward mail, what does that have to do with Activities? The Administrator is allowing or making you spend you time doing this? What? I would defininatly have a problem with that!

Not completely understanding what you are saying. Does the office manager get the mail and give it to you to sort and pass out to other departments?

 

At my facility, the receptionist gets the mail and sorts it. She then puts the resident's mail in my box for us (the activity dept.) to pass out. Hopes this helps.

Like others replied, when the mail comes in the receptionist sorts out the mail and puts in the appopriate boxes. Activites gets the mail for residents and passes it out to them, you may have a volunteer do this. The only mail that got fowarded was if a resident was no longer in the facility or deceased. I would take this mail to the accounts payable/receivable dept. and they would foward it on. Since they have the fowarding addresses, we usually don't get this infomation.

The only change in this is on the weekends when the receptionist is not working. I would get all of the mail then take out the residents mail and pass it out. The rest of the mail was locked up in my desk/office until Monday. Then passed on to the receptionist when she arrived.

Print out this posting and take it to your administrator to discuss with her/him.

At my community the mail man passes the mail. well, he puts it in the residents box. I am at an AL community. The concierge (reception) sorts the Dept heads mail and places in our box, which really is not that much and she can do this in between calls and such.

 

Unless we are all misunderstanding your vent...of course. But if you are refering to the residents mail, do they not have thier own boxes? Every place I have worked the residents have thier own boxes and it really was an activity in itself for them all to meet down and wait for the mail man everyday after lunch. The comments when he was not there on THIER time were very funny.

 

If you are passing the mail to residents make it an activity where they all meet for "mail call" and coffee....or use it as a 1:1 activity for those who can not come out of thier rooms. Help them open and read if needed. This would be a great way to visit with individuals who are hard to talk to. I know this must get very time consuming for a larger community.

I really appreciate your replies to my deliema. I have been giving out mail to my residents in the SNF or RH such as; cards or letters. Out of 121 residents I have 6 that are capable of receiving their bills such as; hospital bills, doctor bills, medicare or medicaid notices that do not contain a check.In 5 years I never had to forward reisdent's bills to their responsible party before, I only gave the cards and letters and read them if they needed me to. I gave bills to alert residents that are their own responsible party. Now I am forwarding the bills also. hope this helps you to understand I don't think this is the way I should spend my day.

I see what you are talking about, now. It amazes me how many families do not change these addresses themselves. If my loved one was not able to take care of his own affairs I would make sure everything came to my home so I would not miss anything. Some families need a lesson is responsibility.

The first 4 years I was here, the mail was brought in by A-receptionist, B-business office manager or C-Administrator, in case the others weren't there, and sorted by that person. Only Residents' mail and my own were in my box. When our last BOM was hired last year, that changed. We went without one for a month, and when the new one was hired, she evidently wasn't told about whose responsibility it had been. I continued to get it. She recently lost her receptionist-had complained about her messing things up-so they sent her to me to replace my assistant who quit. This lady is 74 and does very well with 1:1s and small groups, so I'm happy. But I still get the mail. The BOM even told me once about how I should separate the mail into boxes. Of course, she has so much to do that she can't do it, so why bother arguing?

At our facility the Receptionist sorts all the mail. The resident bills go to the Billing Department or the Social Workers. The Activity Department doesn't distribute any of the actual bills to the residents, just letters, newspapers, etc. Helene

As the others have said, our business manager sorts the mail and puts only ours and the residents' mail in our box. We sort the residents mail and takes it to them. For some of our residents we read their mail for them is they ask us to. For bills we put these in the top bedstand drawer and their families get it when they come. I do not see why the business office does this to you. You have enough to do without extra duties added to you.

Were i work it is between business office, social services, or the activity department. On Saturdays activity does it because the other departments are not there.

In my facility I hate mail because there is always someone different all the time doing it. This means that I get mail for people whom have not been here for years. Or have never been there to begin with. Do you know how long it takes to put return to sender and cross everything.

:huh: The one thing I did get that has helped is one of those A-Z organizer it is a flat one peace office collator with both the alphabetical and numbers. I put everything in there and just deliver on station at a time this has been a great time saving method.
