Pennie 26 Report Share Posted June 18, 2005 Hi I have had several members asking about state surveys.... what to expect... how to prepare.... These are a few of my suggestions, please add yours... thanks, Pennie :-) ************* Check and prepare your previous three month of participation, one on one, resident council minutes(any concerns should be resolved or if not.. Why? no council attendance records) put records, in seperate binders, up to date, in good easy searching order. Have your 1yrs present and previous calendars and newsletters ready also. Make sure alll are neat, professional order. Offer these to them when they hit the door, dont make them ask. Make sure its complete, they will key in on two or three random residents, so make sure that your paperwork can be aligned to any resident, make sure they can go directly to the folders, pull the any choosen res. records..easily, dont give them a reason to come and ask you about things. In your office make sure you have the current Participation, one on ones, one on one schedule, and they will ask for precautionary records(the records you make available to volunteers and staff as to precautions when working with certain res. ..i.e. residents diet restrictions, special needs etc.) ... make sure that while they are in the building, that all scheduled activities are conducted and ON TIME! pray your charting is up to date..... then chill have a good time, find your happy face... expect them to watch you do a one on one .... Guest Guest Report Share Posted June 18, 2005 One quick note, If you make sure all your care plans, in room notes and documentation are all order each week you shouldn't have to rush around making sure they are when state arrives. That will take away from you worries. If Resident council minutes, and calendars are in a binder for the last 3 months just waiting for state you won't have to make copies. You can just hand them to the State lady. I can't remember a time when I became nervous about State. Another thing, always make sure the Residents love you by loving them first. Guest Tinki Report Share Posted June 18, 2005 Always be sure that you know your resident rights and their backgrounds ie, names, medical conditions, rooms numbers and attendance, in case the surveyor asks you specific questions about a resident. Be sure to keep a notebook or file of all the CEU's and inservices that you have attended to show that you are keeping up your skills. mbkemp 0 Report Share Posted June 19, 2005 Well, state just left my facility - it was my first state survey. I've been at my job four months. They came in on Monday and exited on Wednesday. Activities got two tags. One, because I'm not certified yet (I'm registered for classes in Aug.) and Two, because resident council said the only activities on weekends are church activities. What am I suppose to do. I have no assistant - it's only me! I can't be there 24/7. And the activities that are scheduled for weekends were already scheduled when I started the job. I have to come up with a plan of corrections really soon.........I've been calling all of the Fraternal Organizations in my area, trying to drum up weekend volunteers, but no luck yet!!!! Guest PCB04 Report Share Posted June 20, 2005 Good morning, FTAG 248 reads: "The facility must provide for an ongoing program of activities designed to meet, in accordance with the comprehensive assessment, the interests and the physical, mental, and psychosocial well-being of each resident." So, you alone are not responsible for providing activities 24/7. Bottom line is, your administrator needs to approve an assistant for you or (as was the case in my facility when I received a tag to a very similar issue) nursing staff must provide activities when you are not available. Specifically in my facility the activity staff was taking residents out of the Dementia Unit to Devotions everyday but... those residents that did not come out for Devotions weren't getting any activities in that time period. So now it is an expectation that nursing staff also assist in providing activities and if they do not, corrective action is taken. It hasn't always been easy but getting better. Of course, there are some CNA's that are much more willing to be a team player than others. To help the nursing staff succeed, the activities staff will have supplies and ideas already listed so the CNA doesn't have to brainstorm as to what they're going to do. This has really helped. Just out of curiosity, which state are you from?? This is the second example that I know of for a tag given for not being certified. Everyone have a great day. The intent is that you need to plan an additional activity for those residents who don't choose to participate in church services. You can offer a coffee hour after the program, put a movie on in the lobby or on the units, offer a Sunday Paper program and have someone read the paper (could be another resident) or have a drop in center for residents to drop in and work on craft projects. I know in Texas all you HAVE to have is the Basic and then you are a qualified activity director not certified. Certification is your choice (even though the administors and corporate want you to be certified). I too and curious what state you are in. The certification classes are only offered twice a year ( I don't know if it's like that everywhere or just here) anyway, State surveyors were made aware that I will be Certified in Aug. but, I still got the tag. You can bet, they will not "get" me next year!!! I have started my calendar for July and it will be "full" on weekends if it kills me. I don't care if I have to beg, borrow and plead!! I most definately think the residents should have more than just church on weekends. And I do wish they would allow me an assistant, but for now.......I'm on my own...it's "my" dept. and my responsibility............and I'm not a "giver-upper" so.....full steam ahead!!!!!!!
