Activity Coordinator – Job Description
QUALIFICATIONS:
This person must be a Recreation, Occupational, Art, Music or Dance Therapist, OT Assistant or qualified Social Worker; have at least two years experience in a social, recreation, or educational program within the last five years, one year of which was employment in a patient activities program in a health care setting, mental health setting, or setting for the care of the disabled; have a working knowledge of Alzheimer's disease and related dementias or have a demonstrable aptitude for working with the elderly; have experience in supervision of staff, leading a team and administration duties; ability to provide a joyful, supportive environment that enhances the quality of life for center participants. Have a valid California Driver's License; obtain CPR and First Aid certification and complete a 36 hr training course for this position.
JOB DESCRIPTION:
The Activity Coordinator will supervise Program Specialists, Therapy Aides and coordinate Adult Ed Instructors and volunteers: develop and maintain a structured, therapeutic activity program; assist in the personal hygiene of participants as needed; report to the Program Director and assist the Program Director as needed. Work closely with the multidisciplinary team to provide quality care to participants while supporting their caregiver.
Duties: The duties of the Activity Coordinator include:
1) Personnel:
a) Direct supervision of Program Staff including Program Specialists and Therapy Aides.
Maintain a staff schedule with a participant to staff ratio of 5:1.
c) Fill in for program staff and Adult Ed Instructors as needed.
d) Substitute for Dietary Aide when necessary or train, along with RN, a qualified Program staff person as substitute Dietary Aide with Program Director's approval.
e) Provide recommendations during the hiring and recruitment of Program Specialists under the direction of the Program Director.
f) Arrange for and provide ASEB Orientation and training for newly hired Program Specialists, Therapy Aides and volunteers.
g) Train new Program Specialists in the development and implementation of therapeutic activities for small and large groups based on participant's level of functioning.
h) Train and monitor Program Specialist in safety issues including transport of participants to and from the facility, wandering, fall risks and evacuation procedures.
i) Provide annual and three month written evaluations of Program Staff job performance in accordance with ASEB standards. May include the input of other Multidisciplinary Team members such as the OT, PT, RN.
j) Discuss with Program Director staff job performance as it occurs and prior to any three month or annual evaluation.
k) Assign and rotate activity supply maintenance and storage chores, planning for thematic decoration and special events and staff room cleaning tasks among Program Staff.
2) Program:
a. Develop, implement and maintain a structured program of therapeutic parallel activities that are adult in nature and personal hygiene regimes that ensure participants' comfort, safety and engagement in the Activity Program.
b. Create and maintain a daily program schedule that includes necessary therapies and social work groups and also allows participants choice in other physical, social and spiritual activities according to their abilities.
c. Develop an agenda for and lead weekly Program Specialists meetings and provide an agenda to the Program Director.
d. Either alone or in collaboration with the Multidisciplinary Team Members, provides monthly in-services for all staff regarding individual participants and or improving programming, communication and behavior management techniques.
e. Act as a liaison with Adult School Instructors and provide them with constructive feedback regarding their presentations. Anticipate needs of Adult Ed. Instructors. For example have room set up, supplies ready and be prepared to provide attendance information and sign instructor's time sheet.
f. Recruit, train, schedule and supervise volunteers and interns.
g. Develop and maintain a library of structured tasks and 1:1 interactions for volunteers and interns.
h. Purchase Activity Program Supplies according to budget.
i. Coordinate special events, field trips and parties. Work with dietary aide to arrange and coordinate refreshments.
j. Monitor mealtime activity and assist with clean up as necessary and set-up for afternoon activity programming.
k. Work with the team to maintain a positive, calm, joyful environment throughout the center.
3) Administration:
a. Assess new participants' need for therapeutic social and recreational activities.
b. Reassess existing participants' level of engagement in the Activity Program.
c. Complete individualized care plans for participants due for reassessment and also for new participants.
d. Attend and participate in the weekly multidisciplinary team meetings and adjust existing care plans according to the multidisciplinary team's consensus.
e. Create and submit monthly activity calendar to Program Director and administrative assistant.
f. Insure Monthly activity calendar is posted in an area accessible to the public.
g. Attend center management meetings as scheduled.
h. Working knowledge of ASEB's personnel policies and procedures.
i. Complete accurate and timely end of month reports and other reports as requested.
4) Community Relations, Coordination, Outreach and Marketing:
a) Assist in public relations, outreach and community education as needed, including tours of facility.
Provide technical assistance to professionals, service providers and the general community as needed.
c) Attend meeting and educational sessions as determined by Program Director.
5) Other duties as assigned by Program Director, Executive Director or Deputy Director.
