I am interested in finding out how much actual time is spent on paper work(mds,attendance records,care plans,etc)by Activity Directors in an average day.

Hi Gina, I was an AA. I did most of thepaperwork for my AD. I did between 3 to 5 hours per day depending what was going on at the facility. Patricia8231 8-)

Hey Gina this subject all depends on the amount of residents a facility has..

What I learned is that in order to determine how much time to spend on your paper work u need to

Take the # or residents you have divide them by 3 months= number of Progress notes that need to be completed every month. Break that up into 4 weeks and that will tell you how many need to be completed each week. Than you break that up into how many you would do daily.. FOR EXAMPLE....

YOu have 50 residents,

50/3=16.67 Round up to 17.

YOu would have 17 assesments to do every month.

17/4=4.25 round up to 5

YOu would have approx. 1 Progress note to do every day to stay on top of all 50 resident progress notes.

 

I hope I did this right, Just learned it yesterday and I have to be honest but Math is my most hated subject..

Wow Miguel, that is something that was never done at the facility where I worked. But then again the paperwork was never done properly. Thanks for sharing that because, hopefully, within a month (maybe 6 weeks) I'll have a job and going for my AD certificate. Thanks, Pat8231 8-)

I am the activity director at an AL and we have currently 42 beds. Luckily my paper work is not that time consuming; my problem is time for planning. :-)

im an activity director in a snf that has 142 beds and i don't think you can really calculate how much time your suppose to spend on paper work just because everyday is different. i tell you, with the amount of paper work i have in a day, and the meetings and reseach for new activities, it's hard to imagine how i can fit it all in a day. but if i have to give a number, approxiamately three hours for a well written documentation.

In the one facility where I worked as an AA, there were four of us in our department, three AAs, one of whom did all the MDS and our department head, the activity director. The one girl did all of the MDS and careplanning for our department, and us other two girls did daily activity/one on one documentation and also the initial activity assesments. So, our director didn't spend a lot of time on any paperwork except our department budget.

After completing the poll, I was curious to know how much time other AD's spend in meetings. For example, I attend the usual morning meeting and careplan meetings. In addition, I am required to attend the medicare meetings, the QA meeting, the at-risk meetings (we discuss each resident that may have a potential to be at risk for one thing or another), and I am also required to attend just about any other meeting they can seem to come up with.

 

Basically I am meetings every day of the week for varying hours of the day, sometimes as long as 6 hrs. Of course this leaves little time for me to actually review or participate in activities. What meetings does your Admin. require you to attend?

I work in a SNF facility that houses 60% long term care and 40% short term (rehab, etc). We are located downtown next to 3 major hospitals so we get a huge amount of turnover. My 14 day assessments usually have to be done in less than 5 for the medicare assessment to be acurate. Half of my day is nothing but paperwork!

For a 131 bed facility and such a high turnover rate, I am the only person in Activities. Talk about job security!

I hope when you guys look at your assistants you appreciate what you have! Some of us aren't that lucky!

I am in Assisted Living and Memory Care. I do not do much with paper work for individual residents, the AL coordinator and Memory Care Coordinator do these and dept heads (incl activities) have to sign off on them. This takes forever so I can imagine what hours are put into the actual paper work. I have quiet a bit of paper work to document the actual activity program for corporate. And then the volunteer records take a bit of time. What drags my day down is the meetings, phone calls, orienting volunteers / documenting thier hours, and with Christmas (or any holiday), decorating the building. I am not going t do much else with decorating as I came in today and a few things I did were done over, so I guess my job in that was not satifactory...LOL. Whatever, right? :roll: My favortie part of the job, with the exclusion of actually getting to do an activity with the residents, is the event planning. I love creating parties for the residents and thier families.

Hi,

I have the same problem-meeting after meeting and when you add in the paperwork and MDS there is not a lot of the day left. Especially this time of the year-just put up my second Christmas tree with one more to go. I am very grateful for my assistant ,I don't see how anyone can do it all by themselves.

Even with two of us it gets a little wild during the holidays. :lol:

Hi, Guys! :-)

 

Christmas is always busy and the paper work always gets behind. It helps to have an understanding Administrator and a lot of capable volunteers. Over the years I have built up our volunteer corps to 125 individuals and many groups. It sure makes Christmas easier! Still...we get so busy that the paper work slips behind until mid-January. Bite the bullet! :hammer:
