Activities Calendar Requirements

I am a CTRS new in the Activity Director position. We are making cuts and want to see if we can print our big calendars for the common area here instead of having them printed outside the facility. I am wondering first of all, is there a state requirement that says the calendar has to be a certain size ? Second, where can I go to find out the requirements in activities so I can make sure we are in compliance? We are located in Ohio. Thanks in advance.

What we do at our facility is order the big calendars from sea bay. The come just like a small, pocket calendar would. We just hand type all events and corresponding images that we want on our calendars and then glue them on the days the activities occur. We then hang the big calendar on the wall, the first day of the month. It may take you a couple days, so make sure you get busy on it the last week of them month so they it will be ready in time. You can get the big calendars $22 and they come in a quantity of 12. They are wonderful. I do not believe there is a state requirement on how big they need to be, As I have seen many different sizes at other facilities.

Im not sure as to where to find the requirements but I was given a handbook stating how many requirements were required from my previous activity director and she is certified, so I am assuming that she kept within her requirements. Here is what I have...

Atleast 3 organized group activities per day

Atleast 3 nightly activities a month- may be conducted by Activity Director and/or volunteer

Ateast 20 weekend activities a month-may be conducted by Activity Director and/or volunteer.

I also know that per state regulations, it is required to have Resident Council, resident rights, and activity commitee meeting once a month.

We post a calendar in each room. It would be easier to just do a big one. Will have to check into that idea! I do post a big one in the main hallway. It's 3'h x 5'w. I take a 11x17 tabloid size calendar to Staples or some other copy place that can make large blueprint size copies. I have them enlarge the calendar 327%.

I have been at the same facility for nine years in Michigan, and have gone through many different survey teams. I have always used the same system for printing my calendars. I use a program called PrintMaster. It was in the Department when I took over as Recreation Therapist and have since upgraded to the newest version. It can be purchased at places like Office Max. The program is similar to Hallmark Greeting Cards, which includes all the cute graphics.

 

When I first started as the Rec Therapist I printed the calendars vertically but soon learned that I could enlarge them bigger on the 11x17 paper on our copy machine if I printed them horizontally. I hang one on each resident door keeping in mind the appropriate level for the resident (ambulatory or wheelchair height). I also provide a copy to any resident that would like one at bedside. I also have a 2'x3' dry erase board on each unit that we write each days activities on.

 

I had trouble ordering colored paper from Office Max the last time I needed it for my printed calendars so I went to our local newspaper office and found that they had a bigger variety of colors available from their supplier and it was cheaper!

 

Overall the cost is dirt cheap. No monthly copy costs at the copy shops and surveyors have never had a problem with the size, or posted locations.

We give each resident a 11x17 version of the monthly calendar that we print here, but we also have two large bulletin boards that we use to post weekly calendars. I type them up in Microsoft Word, and copy them on our copier, enlarging them to ledger size (11x17). We also post the lunch and dinner menus with the weekly activity schedule. I can send you a picture and a copy of my weekly calendar template if you are interested.

I don't think there is any set requirement on the size, other then the residents need to be able to read it. The ones I put in the room I do two sided (two weeks on the front and two-three weeks on the back) on ledger paper that I can just run through the copy machine here at work. I had to do the two sided because my residents were stating they couldn't read it when it was just on one side.

 

For the two I have in the halls I take to a Blueprint printing place and have them enlarge it for me (much cheaper then Staples or Office Max or any other "big box" store) I used to print two days on a 8 1/2" x 11" pices of paper and just staple all those up with colored masking tape as the lines to make it even. It took a TON of time though, but it was the most cost effective

Have a question about calendars for Alzheimers unit. Some of my groups I simply put "Activity Time 2:00" is it okay to be this broad? I've tried to be more specific but this seems to work better so the residents present are more in control of what the activity is.

On our memory care calendar, we are more specific on the calendar while still giving a lot of flexibility. ie: 10:00 "Creative Corner" which can be art, a simple craft, or cooking. "Artistic Expression" might be another good name. We also have Physical Games/Walks which can be noodle ball, balloon toss, or whatever.

In the Assisted Living Facility where I am the Activity Director I have four boards that I have to Decorate and pin up a Calendar on two of my boards. For our residents we actually do a Newsletter with a company called Illustratus. We type in all our information in the space provided to fill up our Calendar activities then we submit the information to the company by the first of every month and they mail us back our Newsletter by the 20th of the same month so we are always ahead one month in advance. Once I have recieved our newsletter through the company I take on copy to our local Kinkos store and have them blow up a calendar with the dimentions of 36 x 48 and a smaller copy for my exercise room board which would be the dimentions of 24 x 36 because the board in the exercise room is smaller than the larger board by our dining area. If you would like have information on the company that prints out our newsletter just go to www.illustratus.com and they will be able to give you information on how to get set up with them on doing your newsletter. They are a great company! I hope this information will help you and the state has given us the approval to use these two dimension.
